Privacy Policy
StylesSync LLC (“we,” “us,” “our”) provides scheduling, client management, inventory tracking, messaging, and reporting tools for individual service providers. This Privacy Policy explains what information we collect, how we use it, how long we keep it, and the choices you have. This page covers our website and product. We do not provide medical, financial, or legal advice and the Service is not HIPAA compliant; please do not store protected health information.
Information we collect
StylesSync LLC stores data you provide and data generated as you use the product. For example:
- Account & sign-in — Your email address, a securely hashed version of your password, your account role, and the tokens that keep you signed in. When StylesSync support staff view your account to help you, a temporary support cookie is used.
- User profile — Name, company details, phone, logo (profile image URL), location, occupation, subscription status (e.g., Stripe IDs/status), and preferences such as low-stock notifications and license-expiration reminders (including your license expiration date if you choose to store it).
- Clients — Client contact details (name, email, phone), notes, and activity status.
- Appointments — Start/end date and time, notes you add, whether an appointment recurs or is cancelled, and linked services.
- Reports — The price, tip, and notes you record for each appointment. If an appointment is cancelled, its price is recorded as $0 and shown as “Cancelled.”
- Inventory & purchases — Product name/brand/price, stock level, desired quantity, and a default sale price used to prefill purchases. Client purchases include item, quantity, price, and the related appointment when applicable.
- Subscriptions — Current subscription tier and features; Stripe identifiers necessary for billing and subscription management.
- Usage & device data — Basic logs, events, device/browser metadata, and diagnostics (e.g., when a request fails) to maintain and secure the service.
- Cookies, local storage, and analytics — A sign-in cookie (
ss_session), a security cookie (csrf_token), support-access cookies (proxyUserId,proxyIndicator), a referral cookie (ref), an analytics consent cookie (ss_consent_analytics), and local storage for staying signed in and for UI preferences. If you allow analytics, Google Analytics 4 sets identifiers such as_gaand_ga_*.
We do not intentionally collect sensitive categories of data (e.g., government ID numbers, precise health records). If you add client wellness or allergy notes, you are responsible for obtaining consent and keeping them minimal because the Service is not intended to store protected health information.
How we use information
- To provide core features: scheduling, client records, inventory, purchases, and reports.
- To personalize and improve the product (e.g., defaulting sale price, summing service prices).
- To show reminders and notifications you enable (low stock, license-expiry in 30 days, etc.).
- To secure accounts, prevent abuse, and debug issues.
- To communicate about your account, subscription, updates, and service changes.
- To comply with legal obligations.
Legal bases for processing (EEA/UK)
- Contract — To provide the Service you sign up for.
- Consent — For optional SMS, marketing, and analytics cookies.
- Legitimate interests — To secure, improve, and support the Service where these interests are not overridden by your rights.
- Legal obligations — To meet tax, accounting, and compliance requirements.
SMS & text messaging
If you choose to receive appointment reminders or other updates via SMS, the following terms apply in addition to this Privacy Policy and our product terms. These disclosures are designed to align with CTIA/A2P best practices and U.S. TCPA requirements.
- Opt‑in consent — We only send texts to clients who have explicitly opted in (e.g., by checking an SMS consent box in the app, agreeing during account onboarding, or replying START/UNSTOP to a prior message). Opt‑in is not a condition of purchase.
- Message frequency — Message frequency varies based on your activity (for example, appointment confirmations and reminders you enable). Providers can configure whether reminders are sent and when.
- Charges — Message and data rates may apply.
- Opt‑out — You can opt out at any time by replying
STOP,STOPALL,UNSUBSCRIBE,CANCEL,END, orQUIT. You will receive a confirmation message and no further texts will be sent unless you re‑opt‑in by replyingSTARTorUNSTOP. - Help — For help, reply
HELPor email support@stylessync.com. - Supported regions & carriers — SMS features are intended for U.S. recipients and supported carriers. Delivery is not guaranteed; carriers are not liable for delayed or undelivered messages.
- Data we process for SMS — We process client name, phone number, opt‑in status, appointment meta (e.g., date/time, service name), and delivery logs (message ID, timestamps, status, error codes) to provide reminders, prevent duplicates, and comply with carrier audits. We retain logs for a reasonable period to investigate delivery and abuse.
- Your controls — Providers can turn reminders on or off for all of their clients. Individual clients can opt out via STOP at any time. We honor opt‑out across all matching client records that share a phone number.
- Privacy — SMS delivery uses a messaging provider acting on our behalf. For more, see this policy.
How we share information
We do not sell your personal information. We share data only as needed to operate and improve the service:
- Service providers — Hosting, databases, logging, email, and payment (e.g., Stripe for subscription billing), Google OAuth/Calendar for sync, Google Analytics (if you consent), and our SMS delivery provider.
- Support access — StylesSync support staff can view and act in your account to help with support requests and troubleshooting.
- Legal — If required by law or to protect rights, safety, and the security of our users and the service.
Cookies & analytics
We use essential cookies for authentication and security. Optional analytics (Google Analytics 4) run only after you consent via our cookie banner; you can withdraw consent at any time by clearing the analytics consent cookie in your browser settings or using the banner link in the footer. GA4 may collect usage data such as pages visited, device/browser type, approximate location, and feature interactions to help us improve the product. See our Cookie Policy for details on each cookie, its lifetime, and how to opt out. You can also review Google’s privacy information and use the Google Analytics Opt-out Browser Add-on.
International transfers
We may transfer your information to the United States and other countries where we or our service providers operate. When transferring personal data from the EEA/UK, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent transfer mechanisms.
Data retention
We keep your account and the data in it (clients, appointments, reports, inventory, expenses, and settings) until you delete your account. Cancelling a subscription or letting a trial end does not delete your data.
When you delete your account in Settings → Account, we permanently delete your profile and its data, including clients, appointments, reports, services, inventory, expenses, availability, reminders, and calendar connections, and we sign you out everywhere. We keep a limited set of records after deletion: billing records (invoices and subscription history) for tax and accounting, no longer linked to your profile; an anonymized record that the account existed, used to prevent reuse of free trials; referral records with identifying details removed; and security logs. Files you uploaded, such as your logo and appointment photos, are stored separately and are not removed automatically; email support@stylessync.com to have them deleted. Analytics data is kept for up to 14 months. Deleted data may remain in database backups until those backups expire.
Security
We use reasonable technical and organizational measures to protect information, including hashed passwords, least‑privilege database access, and transport encryption (HTTPS). No method of transmission or storage is 100% secure; we work continuously to improve our safeguards. The Service is not intended for regulated health data or card storage—payment cards are handled by Stripe.
Your rights & choices
- Access, update, delete — You can access and edit most data (e.g., clients, appointments, inventory, profile) directly in the product. You can delete your account at any time in Settings → Account.
- Notifications — You control low‑stock and license‑expiry notifications. If you disable license reminders, we clear your stored license expiration date.
- Cookies/local storage — You can clear cookies and local storage (e.g., the cached logo URL) in your browser at any time, though the app may lose convenience features until reconfigured. Declining analytics cookies disables Google Analytics for your visits.
- EEA/UK users — You have rights to access, correct, delete, restrict, or object to processing; and to data portability and withdrawal of consent. You may also lodge a complaint with your local supervisory authority.
- California users — You may request to know, correct, or delete personal information, and opt out of certain sharing. We do not sell personal information or use sensitive personal information for purposes unrelated to the Service.
- How to submit a request — Email support@stylessync.com with the subject “Data Rights Request” and the email tied to your account. We may ask for verification. We aim to respond within 30 days (or the timeframe required by applicable law).
Children
StylesSync is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us to request deletion.

We may update this policy as our services evolve. We will update the “Last updated” date at the top and, where appropriate, notify you through the product or by email.
